Put the car behind the amount
An actual offer should identify the candidate, condition, market version and relevant dates. If the supplier is giving a general sourcing estimate, keep that status explicit. Keep currency and revisions consistent

Keep updated versions together so a later amount is not accidentally paired with an earlier scope. The commercial documents should identify the contracting parties and agreed terms for the actual purchase. Agree the payment method and deposit in the written transaction terms. Keep unresolved conditions visible until both parties agree them.
Compare evidence as part of the proposition
Two similar prices may accompany different levels of history or inspection evidence. That does not automatically establish the better purchase, but it identifies additional review the buyer may need. A low amount cannot answer an unresolved equipment question, while a higher amount does not independently prove superior condition.
Check the essential feature record alongside condition and preparation. Align the scope before treating a price difference as an engine or trim premium. Any accepted uncertainty belongs next to the commercial comparison, not hidden in a separate message that the receiving team never sees. The buyer should understand the complete proposition being selected.
Ask for a reviewable response
Include destination, quantity, condition preference, accepted versions and essential functions in the initial brief. State the budget currency and whether it concerns the vehicle alone or an agreed delivery stage. Where alternatives are welcome, ask for distinct proposals so their differences remain clear instead of being combined into one vague range.
For example, one Sportage offer may include a defined inspection and preparation while another excludes both. Bring those scopes onto the same basis before deciding whether the apparent saving is meaningful. Retain the accepted quotation with the individual vehicle record and update it when responsibilities change. A precise offer supports later handover checks and a consistent explanation to the dealer's customer.
Use a revision line showing the date, vehicle reference and changed inclusion whenever an offer is updated. This lets the buyer distinguish a price revision from a specification substitution without comparing several disconnected messages.
